My client is a specialist firm of lawyers focused on advising clients in commercial business and private investment.

They were ranked as Leading Firm with their Lawyers being recognised as Leaders in their Field by both Legal 500 and Chambers & Partners.

They now have a vacancy for an Office Manager (predominantly) but also Legal Secretary. Mainly an admin role but will need to be able to work as a Legal Secretary at times.

The role is varied and busy and the responsibilities will include:

To ensure smooth running of the office generally and to assist fee earners/support staff.

Greeting Clients

Receive and seat clients, make tea/coffee/biscuits etc

Client-facing role, must be professional and presentable

Office Management:

Open up, lock up, lights, check windows closed, gates closed, parking bollards up etc

Fire system check - weekly

Post in (to be opened, scanned and filed electronically and hardcopy). Post out to be taken to Mail Boxes (around the corner, will involve light carrying and walking must be physically fit enough to carry post which may be lever arch files() on occasion)

Arrange couriers, travel, meetings, restaurant bookings etc

Supplier invoices (eg Mail Boxes, window cleaner, couriers, fee notes, Experts and all other incoming invoices) to be saved to system and sent to accounts team in Head Office

Request cheques from Head Office

Expenses

Petty Cash

Keep meeting rooms stocked with papers, pens and clear cups/glasses after meetings.

Arrange any maintenance as may be required (eg IT, copiers, software etc)

Office Supplies

Stationery: Monitor stock of and order stationery, put away.

Water cooler supplies: order more bottles, arrange maintenance

Printers: Monitor stock of paper (printer and letter head) order as required. Ensure printers stocked with both regularly throughout week. Monitor and order/install print cartridges.

Deal with utilities, provide meter readings when required.

Kitchen Supplies:

Legal Secretary:

Answering phones, monitor main line voicemail

Digital dictation typing

Filing (electronically and hardcopy)

File Opening (electronically and hardcopy) - incl client ID, dealing with client documents etc

File Closing (electronically and hardcopy) - incl address any WIP on system, disbursements etc. Return client documents and archive file.

Organising files/papers

General archiving (scanning and shredding)

Copying, printing, scanning

Billing

An experienced individual required

Legal Secretary experience required, preferably litigation based roles

Litigation team. 6 fee earners and 1 other Legal Secretary.

High-value and complex cases. Work to time-critical deadlines. Often high pressure environment. Needs to show experience and ability to work under pressure.

The hours of work are Monday to Friday 9.00am - 5.30pm, with 23 days holiday per year plus bank holiday and a very generous salary is on offer.
